Summary of Position:
The Assistant / Project Manager plays a pivotal role in the Upper School, ensuring that the Upper School Principal and the Principal’s Administrative Team can work as a collaborative, effective, and efficient team. In addition to providing support for the Principal’s daily office operations, calendar, communications, and budget, the individual also is responsible for ensuring regular and timely communications from the principal’s office on one-time, strategic items and events as well as day-to-day needs (e.g., newsletters, faculty-related meeting schedules, professional development agendas, and the faculty handbook). Each year, the Assistant / Project Manager also supports the Principal defining and managing special projects for the Upper School that improve the division. Finally, the individual also completes key activities in support of annual Upper School events (such as opening of school, family weekend, and graduation), in collaboration with the School’s events department.
Please note: the individual in this role will have significant responsibilities related to opening of school (late August and early September), family weekend (late October), and end of year and graduation (late May and early June). Flexibility and availability after hours and on weekends will be needed in particular during these times. The individual in this position must be on campus daily during regular working hours, both during the school year and summer.
Essential Functions and Responsibilities:
In support of the Upper School Principal’s Office
The assistant will provide the following administrative support to the Principal:
- Serve as the main point of contact for the Upper School Principal’s office, and respond to students, families, employees, and visitors, including those with concerns or questions, in an appropriate and timely manner; this includes:
- Answering the Principal’s office phone
- Greeting visitors to the Principal’s office and supporting the Principal in ensuring that meetings start and end on time
- Managing the Principal’s calendar, including liaising with other school offices, faculty, families, and students to schedule meetings as needed
- Arrange catering services and other meeting logistics (e.g., audiovisual, space set-ups), as requested
- Monitor the Principal’s budget and submit relevant invoices and credit card statements for processing
- Arrange travel, as requested
- Order supplies and complete mailing & copying, as needed
- Other duties as assigned
